Meeting Minutes 11/6/14

In attendance: Ailyne, Andi, Ben, Chelsea, John, Lacey, Mary Beth, Mike & Sammi

-We will be taking group picture at meeting next week for facebook. Wash your hair.

-Final details – Artist Card Fundraiser-
-Receipts – Mike brought receipt book
-Mike said he cannot use both tax exemption and discount, but his discount is better.
-The remaining $0.55 from the receipt book purchase is a donation.
-Will write receipt for total donations in a year
-Suggested that people put their donations in an envelope. Envelope for each person.
-Customer gets white copy
-Toby is currently keeping receipts – unsure what his organizational system is.
-Envelope in cashbox for Common Root’s receipts
-Plinko – Lacey explained the game and will change the 1’s to a 7. Price possibilities for Plinko game will be 2, 3, 5, and 7.
-Refreshments:
-Lacey & Andi – guacamole & salsa
-Mike – tortilla chips and lemonade (Barbara’s contribution $$)
-Ailyne – bean dip
-Donna & Bob – something sweet, perhaps lemon bars
-Shelly – cheesecake

-Quorum-
-Old quorum was 3, attempt to have consensus but get at least 2/3 majority when can’t get it. No board member requirements
-New quorum: 5, with 2 board members present (Majority number will be 3)
-Super majority will be a messy number in large groups…but we’re still requiring a 2/3 majority required to pass, if consensus cannot be met.
-Conflict of interest should be considered at times when board members are legally culpable for the resulting implications of the vote

-Schedule
-4 people speaking – 5 to 10 minutes each
-listing name of victims
-moment of silence
-open floor for people who want to speak
-if no one wants to speak, can just have discussion
-Meeting for speakers – before BORING committee meeting at 7 pm
-Josslyn will contact city to see what else we need to do

-Calendar-
-Ailyne will be taking over open hours on Wednesday 6-8:30
-May do movies every other week for open hours
-11/16 is Hanukkah and Ailyne will be at open hours
-She may not be here on New Year’s Eve

-December 27th for New Year’s Eve game night party

-November events – online
-People who are hosting November events: are they going to create the facebook events?
-Events should be created with enough notice to be sufficiently publicized
-Common Root – Mutual Aid Center page —> create event

-December calendar draft – add events
-Vermiculture on the 12th, 5 to 7 pm (worm party! And potentially worm giveaway)

-Youth Volunteer Opportunities-
-For students who need volunteer hours
-make food for fundraiser as an activity option
-GoPo hours – we should get on the list

-Sammi suggested making a monthly community service activity. Suggestions:
-Community Crops
-helping the homeless: food, necessities
-stream cleanup
-helping rescue animals

-Organization of the month-
-We highlight on our website/facebook page an organization that is doing cool stuff locally
-potentially invite them to their honorary meetings
-Do a plug for them on our website using the web mechanism that John found
-Andi is in charge of this but wants input for organization suggestions

-Suggestion was made that we should have a youtube channel with Josslyn as hostess of videos. It will be awesome.

-Mike offered to help make memes
-people should brainstorm phrases, quotes, our poetry
-pictures of our people get the most likes
-we should share stuff from the page, tag people who might be interested
-Things only show up in people’s newsfeeds if admin posts it or if admin reshares things other people post. If a person shares something on the page and want it publicized, they should message an admin to request it get reshared.
-If we get a youtube channel, we can link to it from page, and link page from channel
-Fb page admins
-Anybody who is a keyholder will be able to be an admin if they agree

-Goodsearch (run by yahoo)
-goodsearch.com: you designate the charity and every search you do generates money for that charity (Common Root!), and if you buy something you can designate that some goes to charity
-Got $90 this year

-Keyholder Handbook – all revisions made from last time
-next week we’ll review a section and edit

-MAF (Midwestern Anarchist Foundation)
-they have vegan food kitchen, free store, online zine shop
-Should we donate to them as a networking gesture?
-Print out mission statement and set out a jar at events for people to donate to them or us or whoever else we put on a jar label
-We, as 501(c)3, can donate to other nonprofits, but do they have to be 501(c)3 as well??
-Inquire with BORING committee

Yes, they have to be 501(c)(3) as well. At least if it’s a donation; if it’s a purchase of services, then there’s no requirement.
